1. Who We Are

Synapse Nursing (synapsenursing.com) is an AI-powered educational and wellness platform built specifically for prelicensure nursing students. Synapse Nursing is a product of Synapse Learning LLC. Our AI tutoring tool, Coach Y, is powered by Anthropic's Claude API.

Synapse Nursing is built for adult learners — you must be at least 18 to create an account (see our Terms of Use). The platform is not directed to children, and we do not knowingly collect personal information from anyone under 18; if we learn we have, we will delete it.

2. What We Collect

When you create an account we collect:

Name
Email address
Password — encrypted, never stored in plain text
Invite or cohort code used at signup
Date of account creation
Role — student, faculty, or admin

During your use of the platform we collect:

Coach Y session counts and message counts (not the content of your conversations)
NCLEX practice question performance by category
Simulation and lab activity — for example clinical-call sessions, sim scores, and badges you earn
Wellness features you choose to use: daily mood check-ins (the mood you tap and when), which wellness activities you complete, and Reflective Journal entries you choose to save to your account (see section 4)
Platform engagement data — pages visited, features used, session dates and times
Cohort membership if you join a cohort using a faculty invite code
Subscription status — your plan, billing interval, and payment state (see section 7)
Support messages you send our team from your account (subject, message, and our reply)
Feedback you voluntarily submit when a resource is unavailable

3. What We Do Not Collect

We do not store the content of your Coach Y conversations on our servers — your device keeps your recent chat locally so you can pick up where you left off, and you can clear it anytime
We do not store your full payment card number — subscription payments are securely processed by Stripe
We do not collect medical records, diagnoses, or health history, and we never ask for them
We do not track your physical location
We do not collect Social Security numbers or government IDs

4. Wellness Data & Your Journals — where your words live

The wellbeing information you choose to log is personal. Here is exactly where each piece lives, so you never have to guess:

Mood Journal (Sanctuary "brain dump"): saved only on your device, in your browser. It is never sent to our servers, and we cannot read it.
Daily mood check-ins: the mood you tap (one word, with a timestamp) is saved to your account so you can see your own patterns over time. Only you and platform administrators can see it — never faculty, never your school.
Reflective Journal activity: if you choose to save an entry, it is stored in your account. We keep only your three most recent entries — older ones are automatically deleted.
Crisis screening: journal text is screened for crisis language on your device when you save, so we can show you support resources (988, 741741) at the moment they matter. This screening sends nothing anywhere, stores nothing, and notifies no one. Our full protocol: Safety & Crisis Resources.
Coach Y cannot read any of this. Your Mood Journal, your Reflective Journal entries, and your mood check-ins are never shared with Coach Y or sent to any AI system — Coach Y only knows what you choose to type to it directly (section 10).
Wellness data is never sold, never shared with advertisers, never shared with faculty or institutions, and never used for anything except showing you your own history.

5. Consumer Health Data — our promises under state health-privacy laws

Some states — including Washington (My Health My Data Act) and Nevada — give special protection to "consumer health data," which includes wellbeing information like mood tracking. This section is our consumer health data privacy policy, and we apply it to every user in every state.

What we collect: only what you enter yourself — daily mood check-ins (one word plus a timestamp), which wellness activities you complete, and Reflective Journal entries you choose to save (three most recent). Your Mood Journal never leaves your device (section 4). We do not infer anything about your health from your browsing, and we use no advertising trackers.
Why we collect it: for exactly one purpose — showing you your own history. We collect it only because you choose to use those features; none of them are required.
Who processes it: our infrastructure providers — Supabase (database hosting) and Vercel (website hosting) — store and serve data on our instructions. No one else.
What we never do: we never sell consumer health data, never share it with advertisers, data brokers, faculty, or schools, and never use it for advertising of any kind. Because we never sell it, we will never ask you to authorize a sale.
Your rights: see your data in the app anytime, ask us for a copy, withdraw consent by simply stopping use of the features, and delete it — per entry (journals), on your device (Sanctuary's clear-my-data control), or entirely by deleting your account (section 13). To exercise any right, use our contact form; we respond within 45 days, and if you disagree with our answer, reply and we will review it again.

6. How We Use Your Data

Your data is used to:

Manage your account and subscription
Personalize Coach Y's academic support based on your performance history
Show you your own progress and wellness history
Improve Synapse Nursing resources based on feedback
Monitor platform engagement to improve Coach Y and platform features
Send password reset emails when requested
Provide faculty members with aggregated progress data for students in their cohort

7. Payments — processed by Stripe

Subscription payments are handled by Stripe, our payment processor. Stripe collects and stores your card details under its own privacy policy; we never see or store your full card number. What we keep is your subscription record: plan, billing interval, payment state, and a Stripe customer reference. Charges appear on your statement as SYNAPSE NURSING. Subscriptions renew automatically until you cancel — see our Cancellation & Refund Policy.

8. Cohort and Faculty Access

If you join a cohort using a faculty invite code:

Your faculty member can see your platform engagement data including Coach Y sessions, questions answered, NCLEX practice scores, and at-risk indicators
Your faculty member cannot see the content of your Coach Y conversations
Your faculty member cannot see your mood check-ins, journal entries, or any wellness content
Your faculty member can only see data for students in their assigned cohort
You can see which cohort you belong to from your profile page

If you are not in a cohort your data is visible only to Synapse Learning LLC administrators.

9. Who Sees Your Data

Synapse Learning LLC administrators have access to platform data for support, security, and operations
Faculty members can see cohort-level engagement data for their assigned students only
We do not sell, share, or rent your information to any third party
We do not share data with advertisers

10. AI Processing

When you chat with Coach Y, your messages are processed by Anthropic's Claude API to generate the reply, along with limited context such as the page you are on and your practice performance categories. We do not store the conversation content on our servers. Anthropic's handling of API data is described in its own privacy documentation.

AI processing happens only when you send Coach Y a message. If your plan does not include Coach Y access, nothing about you or your account is ever sent to Anthropic. Coach Y has no standing access to your data: it cannot open your journals, your mood check-ins, or your wellness history — it receives only the message you typed, the page context, and the practice-performance categories described above. Under our API agreement, Anthropic does not use this data to train its models.

11. How We Protect Your Data

Passwords are encrypted and never stored in plain text
All data is stored securely in Supabase with row-level security policies, so accounts can only read their own rows
API keys are never exposed to users
Coach Y conversation content is not stored or logged on our servers
All data transmission uses HTTPS encryption
Access to production data is restricted to authorized administrators only

12. FERPA Notice

Synapse Learning LLC is not affiliated with any educational institution. We do not share individual student data with schools, institutions, or accreditation bodies without explicit written consent. Faculty access to student data is limited to engagement metrics for students who have voluntarily joined their cohort using a faculty-issued invite code.

13. Data Retention & Deletion

Your account data is kept while your account is active
Reflective Journal entries: only your three most recent are kept; older entries are automatically deleted
Mood Journal entries live on your device — clearing your browser data (or the "clear my data" control in Sanctuary) removes them
Permanently deleting your account erases your platform data — including wellness check-ins, journal entries, practice history, and badges — cancels any active subscription, and removes your login. This is irreversible.

14. Your Rights — every user, every state

State privacy laws (California, Virginia, Colorado, Connecticut, Washington, and others) give residents specific rights over their data. Rather than sort users by state, we extend these rights to everyone:

Access & portability: ask what data we hold about you and request a copy in a usable format
Correction: ask us to fix inaccurate information (your name and password you can change yourself on your profile page)
Deletion: request deletion of your account and associated data (see section 13)
No sale, no targeted ads: we do not sell personal data and do not use targeted advertising — so there is nothing to opt out of
No discrimination: exercising any of these rights never affects your access, features, or pricing
Appeal: we answer requests within 45 days; if you disagree with our decision, reply to our answer and we will take a second look
Leave a cohort at any time from your profile page
Opt out of feedback collection at any time
Contact us with any questions about your data

Please note that Synapse Nursing is under active development. While we take reasonable care to protect your data, platform updates may occasionally affect stored information including usage statistics and progress data. We are not able to guarantee the preservation or portability of performance data during this phase.

15. Coach Y AI Disclaimer

Coach Y is an AI tutoring tool powered by Anthropic's Claude API. Coach Y can make mistakes and its responses should always be verified with faculty, textbooks, or qualified clinical professionals. Coach Y does not replace licensed clinicians, nursing faculty, or academic advisors, and it is not a therapy or counseling service. Use of Coach Y does not guarantee any specific academic outcome, NCLEX pass rate, or clinical competency. 16. Changes To This Policy

We may update this policy as the platform grows. We will notify registered users of significant changes by email at least 14 days before they take effect, and we may additionally show an in-app announcement. Continued use of the platform after the effective date constitutes acceptance of the updated policy.
